Citibank Statement to CSV: Cards, Deposits and the Archive

Citi gives you a download button and an archive, and they do not overlap the way you would want. The download covers recent activity. The archive holds years of monthly statements. The period you actually need — last tax year, the twelve months a lender asked for, the quarter your bookkeeper never got — usually sits in the archive, as PDF.

This post covers both routes, the specific things about Citi's layouts that defeat generic PDF converters, and how to prove the CSV you end up with is complete.

Quick answer

  1. Citi Online's downloads. The account activity page carries an Export control, though Citi does not publish which file formats it offers. Separately, the Statements area offers your 12 most recent statements as PDF and your 6 most recent in Quicken and Microsoft Money formats — note that CSV is not among them.
  2. Convert the PDF statement. For archived months, closed cards, an authorised-user statement, or a PDF someone forwarded you, the transactions exist only inside the statement. Upload it to a converter like BankStatementKit, which extracts the rows and balance-checks the output against the statement's own printed totals.

Rule of thumb: recent and signed in, use Citi's export. Archived, closed, or emailed to you, convert the PDF.

Turn a Citi PDF into a verified CSV

Option 1: Citi's built-in transaction download

  1. Sign in to Citi Online on a desktop browser — the export is generally not exposed in the mobile app.
  2. Open the account and go to the transactions or account activity view.
  3. Set the date range you want, within the window Citi still offers.
  4. Choose a spreadsheet format from the download options and save the file.
  5. For formal monthly statements instead, use the Statements area: the 12 most recent are available as PDF, and the 6 most recent also as Quicken and Microsoft Money.

Option 2: Convert the Citibank PDF statement to CSV

  1. Download the monthly statement PDF from the Statements area of Citi Online.
  2. Upload it. The file is processed in memory and never written to disk; supply the password at upload if the file is protected.
  3. The transactions are read into seven standard columns: Date, Narration, Reference, Value Date, Debit, Credit, Balance.
  4. Check the verification label, then download the CSV.

Why Citi PDFs trip up generic converters

Two dates per transaction on card statements. A Citi card statement records when the purchase happened and when it posted to the account. Those can fall in different billing cycles. A converter that grabs whichever date appears first will move transactions across month boundaries, and a December-versus-January misplacement is exactly the kind of error that surfaces months later during a tax review.

Category blocks with their own subtotals. Card statements group activity into purchases, cash advances, fees charged and interest charged, each block ending in a total line. Those total lines are formatted like transaction rows. A line-by-line parser adds them to the ledger, and the file then contains money that was never a transaction.

Card and deposit layouts are not the same document. One has a running balance, the other does not. Extraction logic that assumes a balance column exists will produce a half-empty column on a card statement, and verification built on a balance chain has nothing to chain.

Prove the CSV matches the statement

Which check you run depends on which Citi statement you have.

  1. Card statements: the summary box. Previous balance, payments and other credits, purchases, fees charged, interest charged, new balance. Previous balance − payments/credits + purchases + fees + interest must equal the new balance, and the sums of your extracted debit and credit columns must reproduce those same component figures.
  2. Deposit statements: the balance chain. Where a running balance is printed, previous balance minus debit plus credit must equal the balance on each row. One dropped or duplicated transaction breaks the chain at the exact row where it went wrong.

BankStatementKit runs whichever checks the statement supports on every conversion and labels the result VERIFIED, DISCREPANCY or FAILED, with a discrepancy pointing at the row where the numbers stop agreeing.

FAQ

How far back can I download Citi transactions as a spreadsheet?

The activity download covers a recent window only. For older periods, use the statement archive: Citi describes the most recent year of statements as immediately available and up to seven years as accessible online, with older ones sometimes needing a request first. Those arrive as PDFs and go through the conversion route.

Can I convert a Citi credit card statement with no balance column?

Yes. Card statements are verified against the printed summary rather than a running balance, since none is printed. The extracted purchases, fees, interest and payments must reproduce the summary's component figures and tie previous balance to new balance.

Does this work for a Citibank checking or savings statement?

Yes, and those usually carry a running balance, which gives a stronger row-by-row check. If the document covers several accounts, verify each account section against its own totals rather than expecting one grand total to reconcile.

Will the CSV import into QuickBooks, Xero or Excel?

The output is standard CSV with Date, Narration, Reference, Value Date, Debit, Credit and Balance columns. All of those accept a CSV import with a column-mapping step. There is no native QBO, OFX or XLSX export here — for accounting-software formats while the period is still recent, Citi's own Quicken download is the shorter path.

Is uploading a bank statement safe?

The PDF is processed in memory and never stored. Conversion history is kept for 30 days and you can delete it whenever you like. First conversion is free with no account needed; a free account gets three per day. Questions? Contact us.

The bottom line

Take Citi's export while your dates are still inside the download window. Once you are into the archive — and for anything on a closed card — you are converting PDFs, and the two-date card layout plus the subtotalled category blocks are precisely where a careless converter quietly changes your numbers. Layout notes are on the Citibank statement converter page.
