HSBC Statement to CSV: The Complete UK Walkthrough

You need HSBC transactions as a CSV, and they have to be right: every Direct Debit, every card purchase, every credit facing the correct way. Maybe it is a Self Assessment return, a mortgage file that wants six months of statements, a landlord's affordability check, or a year of the account going over to an accountant.

HSBC is better than most UK banks here — it will hand you a spreadsheet directly under the right conditions. But those conditions run out fast, and what is left is a PDF. This post covers both routes, the HSBC-specific layout traits that break generic converters, and how to prove the CSV matches the statement to the penny.

Quick answer

There are two ways to get HSBC transactions into CSV.

  1. HSBC's own download. Statements themselves come as PDFs, but HSBC offers other formats — Excel (.xls) and CSV — from your transactions list rather than from the statement download. You use the search and filter tools on the transaction list, then pick the format when you download.
  2. Convert the PDF statement. For statements you saved, an account you have closed, a period beyond what online banking shows, or a document someone else sent you, the transactions only exist inside a PDF. Upload it to a converter like BankStatementKit, which extracts the rows and balance-checks them against the statement's own printed figures.

Rule of thumb: if you can log in and the period is still there, use HSBC's transaction-list export. Everything else goes through the PDF.

Option 1: HSBC's built-in statement and transaction download

If you still have online or mobile banking access, start here.

  1. In the mobile app: log in, select the account, tap View statements, then choose the month you want.
  2. In online banking: select Statements from the quick links, pick the statement type, then choose the year and month to download. Statements arrive as PDFs.
  3. For CSV or Excel instead: go to the account's transaction list rather than the statement area, use Search and filter to set the period you need, then choose the format at download. HSBC offers Excel (.xls) and CSV here.
  4. Open the file in Excel, Numbers or Google Sheets.

HSBC keeps statements available for up to six years in online and mobile banking, which is more generous than several UK competitors. Paper copies can be ordered through chat, by phone or in branch, with roughly five working days for a current account statement and nine for a credit card statement.

Where the built-in download stops

Option 2: Convert the HSBC PDF statement to CSV

  1. Open the PDF and confirm it is the right account and period. If it was emailed to you encrypted, have the password ready.
  2. Upload it, supplying the password if prompted — the file is decrypted in memory and never written to disk. Limits are 20MB or 50 pages, and a scanned or photographed statement falls back to OCR automatically.
  3. Transactions are read into seven standard columns: Date, Narration, Reference, Value Date, Debit, Credit, Balance. HSBC's Paid out and Paid in figures map to Debit and Credit.
  4. Check the verification label, then download the CSV.

Why HSBC PDFs trip up generic converters

The payment detail column carries two things at once. HSBC prefixes each entry with a short type code — its published set is ATM, BACS, CHQ, CR, DD, DR, SO and TRF — and then the payee, all inside a single column. Long merchant strings push that onto a second or third physical line. A converter that reads line by line splits one payment into a real row plus one or two phantom rows with no amount attached, and your row count quietly inflates.

Paid out and Paid in are separate columns. The direction of every figure lives in its horizontal position. Flatten the page to a text stream, lose the column boundary, and the converter has to guess the sign. A wrong guess turns spending into income, and nothing downstream flags it until a reconciliation fails weeks later.

The balance does not always print on every row. On HSBC layouts where the balance appears only where the daily total settles, a parser that treats "no balance" as "not a transaction" silently discards real rows, while one that forward-fills invents balances the statement never showed. Both produce a file that looks plausible.

Prove the CSV matches the statement

An HSBC statement gives you two independent ways to check a conversion.

  1. The balance chain. Wherever a balance is printed, the preceding balance minus paid out plus paid in must equal it. Because HSBC does not necessarily print a balance on every row, the check runs to each balance checkpoint rather than row by row — which is still enough to isolate the day a dropped or duplicated transaction went missing.
  2. The opening and closing balances. The statement states where the account started and ended for the period. Opening balance, plus all money in, minus all money out, must equal the closing balance. A mismatch means something was lost or something is signed the wrong way.

By hand that is ten to fifteen minutes a statement, which is why almost nobody does it twice. BankStatementKit runs both checks on every conversion and labels the result VERIFIED, DISCREPANCY or FAILED, pinpointing where the figures stop reconciling. FAQ

How far back can I get HSBC statements?

Online and mobile banking hold statements for up to six years. Beyond that, or after an account is closed, you are working from whatever PDF you saved or can request — and that goes through the conversion route.

Why can't I download my HSBC statement as CSV directly?

Because the statement document itself is issued as a PDF. HSBC's CSV and Excel downloads come from the transaction list instead, which is a different view of the same data. If you specifically need the statement in spreadsheet form, converting the PDF is the way there.

What do DD, SO and TRF mean on my statement?

They are HSBC's transaction type codes, printed in front of the payee: Direct Debit, standing order, and a Visa debit card purchase. They are kept in the Narration column rather than stripped, since they are useful for categorising afterwards.

Does this work for HSBC credit card and business statements?

Yes — both are PDFs and use the same upload. A credit card statement groups purchases, payments and interest instead of running one ledger and has no running account balance, so verification falls back to the printed totals for the period.

Is uploading a bank statement safe?

The PDF is processed in memory and never stored. Conversion history is kept for 30 days and is deletable at any time. Your first conversion is free with no account needed; a free account gets three per day. Questions? Contact us.

The bottom line

If you are logged in and the period is inside HSBC's six-year window, use the transaction-list export — it is native and free. For older periods, closed accounts, credit cards and PDFs that arrived from someone else, convert the PDF and insist on a conversion you can prove. The packed payment-detail column and the intermittent balance are exactly where silent errors live.

Turn your HSBC PDF into a CSV that reconciles

Every conversion is balance-checked against the statement's own printed totals, and your first one is free with no account required.
